Executive Assistant to Chief Operating Officer

Job responsibilities:

  • Welcome clients and visitors to the office and assist them as needed
  • Perform various clerical tasks as needed (file papers, organize supplies, etc.)
  • Take meeting notes and transcribe into email, document or spreadsheet form
  • Prepare and send faxes
  • Answer phones and route calls to appropriate persons
  • Take and deliver phone messages
  • Manage, sort, and dispense incoming mail and faxes
  • Prepare outgoing mail, faxes and packages
  • Perform general bookkeeping duties
  • Maintain staff and company calendars
  • Set appointments, meetings, and conference calls
  • Reserve conference spaces for meetings
  • Notify and remind all parties of upcoming events, lunches, meetings etc.
  • Plan out of town travel arrangements for executives
  • Suggest changes to office task workflow in order to improve efficiency
  • Track orders and maintain vendor relationships
  • Attend company meetings and take notes, keep minutes, etc.
  • Train and assign tasks to new office clerks or interns
  • Generate various reports
  • Keep track of birthdays and send appropriate card/gift
  • Coordinate and assist in planning special events throughout the year, including employee events and customer events
  • Follow up on NDAs and legal documents
  • Create PowerPoints

Who we are looking for:
The Database Specialist maintains database by planning, monitoring, and improving performance

 

Responsibilities:

    • Knowledge of advanced Excel skills such as formatting, creating complicated formulas, and working with V lookups
    • Coordinate and manage database activities to support application development projects.
    • Provide functional and technical support to ensure performance, operation and stability of database systems.
    • Manage data exporting and importing across database systems.
    • Provide database connectivity and access support throughout the organization.
    • Prepare documentations of all database procedures and guidelines.
    • Provide high level support to customers on a daily basis.
    • Respond to database related queries and issues in a timely fashion.
    • Monitor database activities on daily basis to ensure the reliability and security of databases.
    • Ensure that database is properly tested and bugs are fixed appropriately.
    • Assist in optimizing database for operational and performance efficiency.
    • Assist in database management, maintenance and troubleshooting activities.
    • Assist in database enhancements and modifications as per customer requests.
    • Prepare database project status reports to project manager.
    • Work with programmers, QA team and security personnel to execute database projects according to customer requirements.
    • Prepare database reports for managers as needed.
    • Focused and attentive to details, ability to think independently and detect problem issues.
    • Strong familiarity with Excel in particular
    • Experience with the Salesforce Platform Data Loader (preferred but not Required)
    • Map and load data into Salesforce using a data loading tool like Apex Data Loader (preferred but not Required)
